BACKGROUND

Rendr Web Solutions is an Australian premium web development agency founded by Jason Sandeman, a full-stack developer building custom CMS and headless Shopify solutions for businesses that want more than cookie-cutter websites. As the business grew, so did the complexity of managing clients, projects, content, and operations across a scattered set of tools.

THE CHALLENGE

Rendr Web Solutions is an  Jason needed more than a project tracker. With multiple client engagements running simultaneously, a growing team, and a business he was actively scaling, Rendr had no single place where operations lived. Tasks were getting lost, client communication was fragmented, SOPs existed only in people’s heads, and there was no real-time visibility into project status or team workload. He came to me looking for a Notion expert who could translate the full complexity of his business into one connected workspace and build automation into it from day one.

What I Built

I designed and built a Notion Business Operating System for Rendr across four interconnected layers:

Rendr Web Home

A central command dashboard with live KPIs: active project count, profit tracking, client hourly rates, and project timelines, all in one view. The sidebar gives instant access to every part of the business.

SOPs Dashboard

A structured library of Standard Operating Procedures covering Employee Onboarding, Client Onboarding, Client Engagement & Support, Deadline Management, Lead Generation & Outreach, and internal Communication guides. Every team member knows exactly how Rendr operates.

Client Portal System

A branded, client-facing portal for each engagement. Clients can submit and prioritise requests, track their credit balance and project progress, access brand assets, review invoices, and communicate, without needing to email Jason directly.

SM Content Calendar

A full social media planning system with a calendar view, content ideas bank, platform-specific posting times, key hashtags, social bios, and brand guidelines — all in one place.

OUTCOME

 Rendr went from running on scattered tools and mental notes to operating from a single source of truth. Jason has real-time visibility into his pipeline, clients have a professional portal that reduces back-and-forth, and the team operates from documented processes that survive handoffs.
The workspace didn’t just organise Rendr, it gave Jason the infrastructure to scale with confidence.

BACKGROUND

OKRA is an independent sacred jewelry and lifestyle brand founded in 2013 by Julie Pang, an artist and designer based in Shanghai, China. Each piece is handcrafted using the ancient lost wax casting technique, drawing on Julie’s childhood memories from the island of Mauritius. OKRA sells internationally while navigating China’s distinct digital landscape, running marketing across Instagram, Xiaohongshu (RedNote), and WeChat simultaneously.

THE CHALLENGE

Julie is a creator at heart, designing, running a studio, leading a small team, and managing marketing and sales all at once. But her Notion setup had become a reflection of that chaos. Projects, tasks, marketing content, and sales information were scattered with no clear structure.
In her own words: “It was so messy that I would just spend time trying to organise my thoughts, and it was affecting my productivity.
The marketing challenge was especially acute. Operating across both international and Chinese platforms meant every content decision had to work in parallel for two entirely different audiences. There was no system, just mental juggling across three apps.

What I Built

I rebuilt Julie’s Notion workspace around how she actually runs her business:

Central Home Dashboard

A single entry point giving Julie and her team a bird's-eye view of everything: active projects, daily priorities, and key tasks.

Video Walkthroughs

Personalised tutorial videos so Julie and her team could get up to speed fast and reference them anytime.

Multi-Platform Social Media System

The centrepiece of the build. A fully organised content planning system running Instagram, Xiaohongshu, and WeChat in parallel, with post captions, tags, subtitles, platform-specific scheduling, content pillars, and brand guidelines all in one place. Every team member works their section without interfering with others.

 Inventory & Sales Operations Dashboard

 A structured workspace for tracking product inventory and managing the sales side of the business, giving Julie visibility she didn't have before.

OUTCOME

Within the first week, Julie’s team was already operating from the same system, no crossed wires, no platform confusion, no lost time. The multi-platform content system turned what was once her most stressful workflow into her most organised one.

FOUNDER, OKRA JEWELRY

BACKGROUND

 PolishPad is a UK-based nail booking platform connecting nail technicians with clients. Founded by Abisola Bright, the platform evolved from a simple directory into a full booking product, solving the problem of users abandoning the site to find technicians on Instagram. With a growing team of developers, interns, and marketers, the business needed its operations to grow with it.

THE CHALLENGE

When Abisola came to me, PolishPad’s operations were spread across ClickUp, WhatsApp, and spreadsheets, with no single place where the team could see what was happening. Processes were undocumented, onboarding was inconsistent, and marketing ran through informal channels.
The impact was real: a low tech onboarding conversion rate, a founder stuck managing gaps instead of growing the product, and a team that couldn’t collaborate effectively across tools. The brief was clear, consolidate everything into one Notion workspace, and build it to scale.

What I Built

This was the most layered build to date, delivered across multiple milestones through close collaboration with Abisola and her team:

PolishPad HQ

A branded home base with quick links to every department: Marketing & Social Media, Community & Ambassadors, Nail Techs, Ongoing Projects, Task Management, and Reporting & Insights.

Full ClickUp Migration

Seven separate ClickUp lists (Ideas, Features, Bugs in Test, Quality Analysis, Testing, User Enquiries, Operations Tasks) were migrated, cleaned, and restructured into properly linked Notion databases, with automation connecting Ideas to Features when status hits "Ready."

Dept. Task Trackers

Individual task management systems for Web Development, App Development, Marketing, Sales, Operations, and HR, each with status views, priorities, deadlines, and assigned owners. A reusable Task Manager Template was built for future department expansion.

OKR Goal Tracking

A structured goal framework breaking objectives and key results down by quarter (Q1–Q4), giving Abisola a clear view of where the business is heading and what each team is working toward.

Multi-Platform Social Media Hub

Separate content calendars for Instagram, TikTok, LinkedIn, and Facebook, with a content ideas bank, hooks library, captions database, hashtag cheat sheets, and platform-specific posting guides all in one place.

Sales Pipeline Tracker

A 13-column sales task manager built specifically for PolishPad's nail tech acquisition workflow, tracking lead stage, task type, expected outcome, objection blockers, last contact date, and full conversation logs.

Private Founder Dashboard

A personal Notion space for Abisola: daily snapshot, top priorities, quick wins, project focus areas, brain dump section, notes and learnings, Google Calendar embed, and daily reflection.

Documentation & SOPs

Process documentation migrated from ClickUp and restructured into Notion, covering key workflows across development and operations.

Video Walkthroughs & Weekly Consultation Calls

Regular Loom walkthroughs and live sessions to ensure the team adopted the system effectively with each call producing a clear action list for the next iteration.

OUTCOME

PolishPad went from a fragmented, tool-hopping operation to a structured, department-level Notion HQ that the whole team now works from daily. The build is still actively evolving, with the next milestone focused on reporting automation, the private founder dashboard, and a structured onboarding flow for new nail technicians.
